In Part 1 of this blog series, we discussed how CitusHealth prescriptive workflows streamline communication to help optimize your operations. We’ll expand on that in Part 2, diving deeper into our impactful workflows for forms, documents, and education.
Forms Center: Workflows that eliminate paperwork
With our Forms Center, forms can be sent to patients or their caregivers electronically, such as insurance change forms, refill assessments, and surveys. SMS, email-secure links, or app enrollment allows for easy use by the recipients. A file upload button can be included in a form that allows images or PDFs to be included when the form is submitted. They can be sent individually or in batches and can include patient-specific, pre-filled information.
The ability for staff to capture information in the field or over the phone from the office, and use conditional logic to improve data collection such as nursing or refill assessments, translates into the ability to capture the entire patient journey for rich and meaningful reporting. Phone calls that were once needed to gather this data can be eliminated, information can be collected accurately, and it’s all updated in real time. We have created workflow codes that are easily added to a field in a form that will reduce clicks and ultimately improve productivity.
Our forms integrate with many electronic health records and can often do so in a progress note as structured data or as a PDF. Combine all of this with the ability to control form visibility by role and notify specific roles when a specific form is submitted—and the result is reduced tech fatigue for staff while still providing oversight for management.
These same app-less and in-app workflows are available to send to physicians, nursing agencies, or other partners. A patient’s entire care team can benefit from the easy-to-complete forms from a browser or within the app. Staff-to-staff workflows have created an easy way to capture information from a staff member, such as their COVID status.
Document Center: Workflows that simplify signature capture
Either through the app or app-less, nursing orders, pharmacy orders, or prior authorization documents can be sent via SMS, email, or in the mobile app to a prescribing physician for e-signature. Patient engagement prescriptive workflows that use the Document Center include signing delivery tickets, consents, and an ABN.
A template allows staff to fill pre-determined information prior to sending or passing their mobile device to a patient or their caregiver to obtain signatures, select checkbox options, or just acknowledge receipt. It allows for three different workflow options: a staff member sending the document to the recipient, a staff member passing their mobile device to obtain the signature in the presence of a patient or caregiver, and a paper signature to be captured as an image in CitusHealth (not on the user’s device) and sent to the office automatically when submitted.
Like the Forms, the Document Center allows control of who can see the document and who is notified when a specific document is submitted.
Education Center: Workflows that empower patients
The Education Center is a low-cost, electronic way to control the version of admission documents, training, and education materials being shared with patients, their caregivers, partners, and even staff. This can be manufacturer financial programs, how-to videos, policies and procedures, as well as standard admission packet information. It also provides a standard, repeatable model of distributing accreditation requirements.
A user tag applied to a patient and to any combination of materials added to the Education Center automates the sharing of that material to the user. For example, a “Medication” user tag can share drug information, how to administer or monitor for side effects, and financial programs to the patients that are on that specific medication.
This center allows for a library of approved information to be accessed using a browser or the mobile app. A couple of clicks allows a role with permission to create or modify education materials—making it immediately available to the patient or caregiver.
